Finding and Borrowing Reserve Materials

Users must have a valid CUNY ID and the Call Number of the item in order to borrow Reserve materials. Reserved items are checked out for 2 hours for in-library use only.  Reserved materials cannot be renewed.

To locate materials that have been placed on reserve you must obtain the item’s Call Number by following these steps:

  1. Click on the Electronic Reserves (ERes) link on the left-hand menu of the Library’s Home page.
  2. Select Electronic Reserve & Reserves Page.
  3. You can search by instructor, course name, course number or department.
  4. From the first pull down menu, select the type of search and enter the corresponding information in the blank box.  Click on Search.
  5. Click on your course number.
  6. When the copyright agreement box appears enter your course password & click on the accept button*.
  7. Select the title needed and on the next screen click on Web/OPAC to display the item’s call number in the library’s online catalog. Check the Due Date to see if it is available.
  8. Write down the item’s call number or pertinent information and bring it to the Reserves desk, located on the Library’s 2nd floor.

*If your instructor is participating in ERes (electronic reserves program), he /she must provide you with the course password for you to gain access to the course’s materials.

 

What else is Available at the Reserve Desk

To locate reserves materials, go to CUNY + and click on the “Electronic Reserve” link and follow the instructions above.  Videos, audio cassettes and music CDs are kept at the Reserves Desk.  Videos and music CDs which are not on reserve may be borrowed for 7 days. Teacher evaluations, and the last several years of Hunter College catalogs are also kept at the Reserves Desk.

Video, audio and CD players are available for personal use on the 2nd floor of the Main Library. Headphones are required for viewing and listening to audio-visual materials in the Library. Headphones can be borrowed at the Reserves Desk on the 2nd floor.

Equipment to assist students with disabilities is available at the 2nd floor Reserves Desk of the Main Campus Library. Study rooms for students with disabilities are located on the 2nd floor of the Main Campus Library and can be reserved at the Reserves Desk.

The Health Professions Library at the Brookdale Campus has a computer designated for students with disabilities located on the mezzanine level of the library, and another one located in the library’s computer lab. At the School of Social Work Library, there is a computer reserved for students with disabilities, you may ask at the Circulation Desk of the library for the location of this computer.

Reservations for group and individual study rooms located on various floors of the Main Campus Library may also be made at the Reserves Desk on the 2nd floor and at the Circulation Desk of the School of Social Work Library.  There are no group or individual study rooms at the Health Professions Library.

Overdue Reserve Materials

The fine for overdue reserves materials is $1.20 per hour. Bills for overdue fines may be obtained at the Circulation Desks at each library or the Reserve Desk of the Main Campus Library.  Fines can be paid by check at the Circulation Desk at any of the Hunter College libraries or in cash at the College’s Bursar Office. Reserve delinquencies may result in the suspension of borrowing privileges. A library stop will be placed on a student's record with the Registrar once a bill is generated for unreturned reserve materials. The library block will remain in place until the material(s) is returned, the overdue fine is settled or the replacement charges (for lost items) are paid. How to Place Items on Reserve

Initial Requests
To place items in the Reserves Collection, instructors must fill out the appropriate reserve request form (scroll down to the Reserves Forms section).  Please allow at least two weeks for items already owned by the Library to be placed on the Reserves Collection. If the Library needs to purchase a book for the Reserve Collection, please allow at least eight weeks for purchasing and processing of the item(s).  Instructors may place personal copies in the Reserves Collection to speed access to the material(s). You may submit requests for Library materials to be placed on the reserves collection electronically (click here for the correct form), or by print by filling out the designated electronic or print form (scroll down to Reserve Forms section). The forms will guide faculty through them in order to provide the data required to complete the request:

On the print forms you will enter the list of Library book(s) and/or materials you wish to be placed on reserve; you will also be asked to select the library location for your materials to be placed on Reserve.  Library materials are paged by staff members.  Notice that there are different forms for books, Audio/Visual materials, and journal articles.  Faculty must sign the Copyright Compliance Agreement stating that the material being used meets the Fair Use provisions as established by the U.S. copyright law Title 17 of the US Copyright Code, or that permission has been obtained for reproduction of the copyrighted material(s).  For more information on copyright compliance you may go to The Copyright Guidelines for CUNY Libraries.

Placing Personal materials on reserve – (scroll down to the Reserves Forms section) Faculty personal materials may also be placed on reserve.  Faculty may bring photocopies of journal articles and/or personal materials with the appropriate accompanying forms to the 2nd floor Reserve Desk at the Main Campus Library or to the Circulation desks at Social Work & Health Professions libraries.

Reactivation Requests
Reactivation requests for reserve materials will be handled on a semester by semester basis in compliance with Copyright Laws.  During the middle of each semester, faculty who has reading materials placed on Reserves will receive copies of their reserve lists with the Libraries Copyright Compliance Form for resubmission of materials for the following semester.  After determining that the requirements for copyright compliance have been met, the instructor must sign and return the Hunter College Libraries Copyright Compliance Agreement together with the list of items that she/he has or has not selected for reactivation.  Faculty then must mail these materials back to their local Reserves Desk:

Before returning their reactivation requests list, faculty members should:

  1. Check the titles of those items they would like to reactivate.
  2. Indicate with a note whether they would like to participate in ERes.
  3. Sign the Copyright Compliance Agreement for photocopies of book chapters and journal articles. In order to access a journal article or book chapter that has been listed for reactivation on the first day of classes, it is necessary for faculty to sign and return the Copyright Compliance Agreement by the indicate deadline.  This applies to both traditional and electronic reserves.

These steps will facilitate the reactivation of reserve materials in order to make them available by the first day of the semester.  It is also important for faculty to come to the Reserves Desk to review and replace missing attributions (title, copyright or other pages). These must be supplied before material can be reactivated for subsequent terms.


PLEASE KEEP THE FOLLOWING POINTS IN MIND WHEN PREPARING RESERVE LISTS:

  • Only REQUIRED READINGS will be placed on Reserve.
  • PLEASE TYPE OR PRINT LEGIBLY.
  • Supply accurate and complete information.
  • Lists are processed in the order in which they are received.
  • A separate reserve list is required for each course each semester.
  • Lists should be submitted at least two weeks before the first day of classes for materials owned by the Library.


Library Owned Material: Check a CUNY+ terminal to be certain that the Hunter College Library owns the title. Supply call number, author and title for each book. For fastest service faculty may retrieve the books from the Main Library stacks and bring them to the Reserves Desk along with your completed request form. The Reserves staff will retrieve items held in the branch libraries.

Photocopies and Personal Copies: Only personal copies of items that are not owned by the Hunter College Libraries should be placed on reserve. For photocopies and personal copies, provide the required information on the request form. Photocopies submitted for reserve should be placed in manila folders, one copy per folder.

Video Cassettes and DVDs: Supply the required information for every video cassette or DVD to be placed on reserve, and check the box next to "VHS" or “DVD.” Include the call number for those videos & DVDs that are owned by Hunter College Libraries. Personal videos, DVDs or CDs must be labeled with the instructor's name and title of the video.

Ordering Items for Reserve: To order an item that is not currently owned by the Libraries, complete a RESERVE BOOK ORDER form, available at the Reserve Desk or online (click here).  Allow a minimum of eight weeks for the purchasing & processing of the material before it is placed in the Reserves Collection. Orders should be placed well in advance of assigning class readings. Please include the ISBN number if available.

Fair Use for Classrooms & Library Reserves

The ALA Model Policy Concerning College and University Photocopying for Classroom, Research and Library Reserve Use states: "At the very least, instructors may make a single copy of any of the following for scholarly research or use in teaching or preparing to teach a class:

  1. a chapter from a book;
  2. an article from a periodical or newspaper;
  3. a short story, short essay, or short poem, whether or not from a collective work;
  4. a chart, diagram, graph, drawing, cartoon or picture from a book, periodical, or newspaper."

Library Reserves Copyright Policies

Photocopies of articles or chapters of books may be placed on reserve at the request of a faculty member.  Under fair use provisions as established by Title 17 of the U.S. Copyright Code, photocopies of these materials may be made without requiring permission from the copyright owner if the materials are being placed on reserve for the first time. One copy for every 10-15 students is the number recommended in the ALA Model Policy. Faculty must furnish the photocopies to be placed on reserve. In general:

Repetitive copying: The reserve or classroom use of reproduced materials for successive semesters will normally require advance permission from the copyright owner.

Copying for profit: Faculty should not charge students more than the actual cost of photocopying the material.

Consumable works: The duplication of works that are consumed in the classroom, such as standardized tests, textbook chapters, exercises, and workbooks, normally requires permission from the copyright owner.

Creation of anthologies: Creation of a collective work or anthology by photocopying a number of copyrighted articles and excerpts to be purchased and used together as the basic text for a course will in most instances require the permission of the copyright owners.

If in doubt as to whether a particular instance of photocopying is fair use in the reserve room, faculty should consult The Copyright Guidelines for CUNY Libraries to determine whether to seek permission of the copyright holder. At the end of each semester, the photocopied reserve items and personal copies of books will be returned to the faculty.

Keep in mind that many scholarly journals allow non-profit educational use without requesting permission. Always check the copyright page of a journal to see whether it contains such a statement before requesting permission.

Other Options

The Library will provide linking to its subscription databases. Instructors are encouraged to use library licensed online periodicals and other content because they do not require copyright permissions or the paying of royalties. These resources are governed by licensing agreements, not by copyright laws, and may, therefore, be used as needed. Always search for an article in the Libraries’ online journals, and include the URL when completing the Reserve Request Form.

Depending on the circumstances, you may prefer the purchasing of course packs rather than obtaining copyright permissions.

 

Reusing Reserve Material

In compliance with copyright guidelines & laws, access to traditional print reserves will be terminated at the end of the class term for books not owned by Hunter Libraries.

 

In compliance with copyright guidelines & laws, access to books placed on traditional print reserves, which are not owned by the Hunter College Libraries, will be terminated.

Permission from the copyright holder is required if an item is to be reused in a subsequent academic term for the same course offered by the same instructor, or if the item is an assigned reading for an individual course taught in multiple sections by many instructors.

Material may be retained while permission is being sought or until the next academic term in which the material might be used, and for which permission has been obtained.

Short-term access to materials in previous academic terms may be provided to students who have not completed the course.

Reserves Desk Hours

The Reserves Desk closes 15 minutes before the library closes. All reserve material must be returned before the Reserves Desk closes.
